Veterinary QuickBooks CleanupThe open month still has a state question

The deposit can finally match the visits, and a Texas clinic still has a second question waiting on that same deposit.

Bring the open month

A full day and a short deposit

Picture one clinic day that never happened. It sits here so the shape can be seen, and none of the dollars come from a real file. The morning is exams. After lunch someone books a bath that is only cosmetic. A flea product goes home with a veterinarian's prescription attached. A bag of food is rung at the counter. At night the cards become one batch. The bank posts a smaller number the next morning because the processor kept a fee on the way in.

Lay the visits beside that deposit and the day can finally be told in one sentence. The fee has its own line. The food is not an exam. The bath is not a prescribed drug. The month is still open, so the split can be written before a closing date locks the file. That matching is the national work on the other pages of this address. A Texas owner then meets a second question aimed at the same deposit, and that question is what this page is for.

Dallas on the call

Dallas is where this practice sits, and the hour is a video call. A clinic in Fort Worth, in the Hill Country, on the Gulf coast, or in the Panhandle reaches the same screen. Nobody has to drive to meet us, because the call works the same from any of them. The open month is the work on the call.

On that hour Steven Palmieri works as the Tax CFO, the Entrepreneur's CFO, with the open month on the screen. The first thing asked is which charge on the deposit shared a line with a different kind of work. The visit, the cosmetic bath, the prescribed drug, and the counter good each need a separate answer before a Texas sales tax report is filled. The paycheck keeps running at the provider this clinic already chose. The wage file can be made ready on this call. The paycheck does not move here.

The letter that picks the rhythm

A Texas sales tax permit arrives with a letter, and the letter is what tells a clinic to report every month, every quarter, or once in the year. A monthly letter means you gather one month and send it on the 20th of the month that follows. April's sales, for a monthly clinic, are due on May 20. In 2026 that May 20 falls on a Wednesday. A quarterly letter means four sends, landing in April, July, October, and January. A yearly letter means the whole year goes in on January 20.

When the due day is a weekend, or a holiday those offices close for, the filing waits until the next open morning. Match that morning to the Comptroller calendar before a weekday printed here is treated as final. The letter sets the rhythm. The size of the clinic does not.

Four charges inside one batch

Go back to the made-up day and ask what Texas would want named inside that one batch. Publication 96-259, read for this page on 4 October 2026, is the Comptroller list of taxable services. A clinical veterinary exam fee does not appear among the services that list names. Dog grooming does appear, with other work done on tangible personal property. This address will not add an exemption the publication never printed. The books still keep the exam on its own line, because a fee the list simply never mentions has to be described that way, and a cosmetic bath the list does mention cannot be folded into the exam.

Open the publication before you treat a charge this page never named as already settled. The link is publication 96-259. If a later Comptroller page moves the grooming line, the later page wins. The deposit still has to say what the day was, whichever way that line moves.

A prescription note on an animal drug

The flea product in the made-up day left with a prescription, so it can be the exempt animal drug line under publication 94-155, also read on 4 October 2026. A second bottle of the same product, rung with no prescription, is the taxable line. That publication gives the human Drug Facts exemption to a human drug sold over the counter. It says animal products do not receive that human exemption. Dewormers follow the same prescription rule as the flea product. Other nonprescription animal drugs are taxable.

The chart is what proves the note. The deposit alone cannot. A bottle that left with a prescription and a bottle that left without one are two lines even when the label on the carton matches. Read publication 94-155 beside the invoice. The rate for that line is looked up when the report is filled, and it is not printed beside the product on this page.

Goods the clinic will sell again

Goods bought to sell again need Form 01-339 filled out, which is the resale certificate. Writing the permit number in the margin is not that certificate. The clinic holds the completed form. Pull an item off the shelf for the clinic's own work, instead of selling it, and the purchase is taxable. The Comptroller explains that with a broom that left the shelf to sweep the store. The broom is their example. This page only sends you to it.

On the made-up day, food rung at the counter follows the resale path. A carton opened for animals the clinic itself is keeping, still only inside that made-up day, follows the broom. Once the month can close, the exam, the cosmetic bath, the drug that had a prescription, the drug that did not, and the shelf goods each keep a line. Money a marketplace already collected stays off the clinic's own sales lines so the same sale is not told twice.

The twentieth and a late report

Most goods, and the services Texas has listed, carry a state sales and use tax of 6.25 percent. Local add-ons from a city, a county, or a transit board cannot pass 2 percent. Put the state piece and the local piece on the same sale and the combined figure cannot pass 8.25 percent. The sale's address picks the local piece, and the Comptroller rate locator is where that piece is read on the day the counter rings. This page names no city rate.

On time, the clinic may trim 0.5 percent from the sales tax, and paying before the due day adds a further 1.25 percent. Those two trims are written on the Comptroller sales tax page. Miss the report and the report itself costs 50 dollars. Tax that is late by 30 days or fewer draws an extra 5 percent of the tax. Tax that is later than that draws an extra 10 percent of the tax. Interest waits until day 61, and the percent stays on the Comptroller interest page instead of being copied here.

May beside the federal return

A Texas company reports the privilege of doing business in this state in May. The name of that report is the franchise tax. It stands next to the federal return. It is not a line inside the federal return. The ordinary aim is May 15. Should May 15 fall on a weekend or a holiday, wait for the next day the office opens. May 15, 2026 is a Friday, so 2026 keeps the Friday. May 15, 2027 is a Saturday, so 2027 moves to Monday, May 17. Memorial Day of 2027 falls on May 31, which leaves May 17 as an ordinary Monday on the calendar checked here. In the spring of 2027, match that Monday to the Comptroller calendar before you mail.

A professional corporation, a professional association, an S corporation, and a limited liability company are all inside this May report. One owner does not take a company off the list. A federal return that treats the company as disregarded still leaves the Texas report due. Someone who never formed a company, and who reports the clinic only with a personal return, is usually outside the packet.

A quiet year can still have a form

Set the report year down before you touch a dollar. If the report covers 2026, or if it covers 2027, annualize revenue the way the instructions describe and compare it with 2,650,000 dollars. At that ceiling or under it, the franchise tax due is zero and the long form stays in the drawer. The ceiling on a 2024 report, and on a 2025 report, was 2,470,000 dollars. Using the newer ceiling on an older report tells the quiet year wrong. A year with no franchise tax can still leave a short form to file. Form 05-102, the public information report, or Form 05-167, the ownership information report, can still be the page the state is waiting on.

If the tax itself is above zero, a retail or wholesale business is generally figured at 0.375 percent, and a clinic outside that class is generally figured at 0.75 percent. Countable pay for one person stops at 480,000 dollars on the 2026 and 2027 reports. The 2024 and 2025 reports stopped that count at 450,000 dollars. Revenue of 20,000,000 dollars or less may use the EZ rate of 0.331 percent, and the price of that rate is giving up the margin deductions. Margin can be computed four ways. Those four ways stay on the Comptroller franchise instructions, and copying them here would only freeze a second version.

What a late May packet costs

Late franchise paper is priced apart from a late sales tax report. The report penalty is 50 dollars. Franchise tax paid no later than 30 days after it was due draws an added 5 percent. Tax paid after that 30 day stretch draws an added 10 percent. Franchise interest waits until day 61. Open the interest page when you need the percent. This clinic page keeps that percent off the screen.

Skip the short information report and forfeiture can follow, under Tax Code section 171.251 and the sections beside it. A forfeited company can lose the ability to sue and the ability to defend a suit in a Texas court. Officers, directors, or owners named in that statute can be personally liable for some company debts. The Secretary of State is the office that records a change of registered agent. The May packet will not carry that change. Begin with the franchise instructions the Comptroller posts.

What to have on the screen

One open month is enough. Bring the deposit that would not explain itself, the visit list for that day, and whether the month is still open. Bring the Comptroller letter if it already told you monthly, quarterly, or yearly. A clinic that is a company should have the latest May packet handy, or the notice that names Form 05-102 or Form 05-167. If a visiting doctor took a check, know whether the payroll provider already ran that pay. The dates those wage deposits leave the bank follow the provider the clinic already picked.

The first call is a conversation. The cleanup of a named clinic month starts when both sides sign a scope. If the only result you needed was the processor fee named, and the state lines were already apart, the hour can end there. Your originals stay with you. We work from what you choose to share.

The photograph and the city it shows

The photograph at the top looks up into the dome of the Texas State Capitol in Austin. A gold star sits in the middle, with the letters of Texas around it. Carol M. Highsmith made the photograph. It is public domain, held by the Library of Congress as the file Texas Capitol dome, Austin, Texas, LCCN 2011630475. We did not take the picture. Austin is where the building stands. The video call starts from the practice in Dallas.

Nothing on this page is a city sales tax rate, and nothing on this page is an interest percent. Both of those move, and both of them are read on the Comptroller pages linked above on the day you file. The made-up clinic day is a shape. Your file supplies the amounts when we open the month with you.
